Privacy notice
Last updated: 3 November 2026
This notice explains what personal information we collect when you visit our website, send an enquiry or book us, how we use it and what your rights are. We keep it short and plain. If anything isn’t clear, email colin@colinstewartevents.com.
Who we are
Colin Stewart Events is the trading name of Colin Stewart, a sole trader based in Glasgow. We’re the controller of your personal information, which means we decide how it’s used.
What we collect and why
When you send an enquiry
Your name, email address and phone number, and the details you give us about your event: the occasion, date, venue, times, budget, the services you’re interested in, how you found us and anything else you tell us.
We use this to reply, check availability and prepare a quote. The legal basis is that you’ve asked us to take steps before entering a contract. We use “how did you find us” to understand which marketing works, which is in our legitimate interests.
When you book
Everything above, plus your billing address and a record of your payments. We need this to deliver what you’ve booked (contract) and to keep financial records for HMRC (legal obligation).
Photos, video and audio from your event
Photographing, filming and recording your event is what you book us for, so we process images and recordings of you and your guests to deliver your gallery, content and audio guest book (contract with the person who booked, and our legitimate interests for guests).
We only use photos or video on our website or social media with permission. We take extra care with photos of children and only share them with the permission of a parent or guardian. If you’d like a photo of you taken down, tell us and we’ll remove it.
News and updates
If you tick the box on our enquiry form, we’ll send you occasional news and updates (consent). Every email has an unsubscribe link, and you can withdraw your consent at any time.
When you visit our website
Our host, Cloudflare, processes your IP address to deliver the site and protect it from attacks, and our enquiry form uses Cloudflare Turnstile to stop spam. Our website’s fonts are loaded from Google Fonts, so your browser connects to Google, which sees your IP address. The Instagram photos on our home page are copies stored on our own site, so viewing them doesn’t connect you to Instagram. These are in our legitimate interests in running a secure, working website.
We use Cloudflare Web Analytics to count visits and see which pages are popular and how people found us. It doesn’t use cookies, doesn’t track you across other websites and doesn’t identify you.
Cookies
We don’t use cookies for analytics or advertising. Cloudflare may set a strictly necessary security cookie to tell people from bots, which doesn’t need your consent.
Who we share it with
We never sell your information. We share it only with services that help us run the business, under contracts that protect it:
- Cloudflare: website hosting, security, analytics and spam protection
- Resend: delivers enquiry form emails to us
- Titan: our email
- Google Drive and WeTransfer: delivering your gallery
- HMRC and other authorities, when the law requires it
Some of these services may process information outside the UK, for example in the United States. Where they do, the transfer is protected by safeguards recognised under UK data protection law.
How long we keep it
- Enquiries that don’t become a booking: 12 months from our last contact.
- Booking and payment records: as long as the law requires for tax purposes, currently up to six years.
- Your online gallery: 60 days. We keep a backup of your edited photos for up to three months, unless they’re used on our website or social media, or you ask us to keep them longer.
- News and updates: until you unsubscribe.
Your rights
You have the right to:
- ask for a copy of the information we hold about you
- ask us to correct anything that’s wrong
- ask us to delete your information
- ask us to limit how we use it, or object to how we use it
- ask for your information in a format you can take elsewhere
- withdraw your consent at any time, where we rely on it
To use any of these rights, email colin@colinstewartevents.com. We’ll reply within one month. Some rights have limits; for example, we must keep financial records even if you ask us to delete them.
Complaints
If you’re unhappy with how we’ve handled your information, please tell us first so we can put it right. You can also complain to the Information Commissioner’s Office: ico.org.uk/make-a-complaint or 0303 123 1113.
Changes to this notice
If we change how we use your information, we’ll update this page and the date at the top.
